Free stock register Excel template

A ready-to-use stock register (stock ledger) in Excel — item code, unit, opening quantity, goods in and out with GRN and reference numbers, an auto-calculating balance, reorder level, location and remarks. Bold frozen header, one marked sample row. Download it free, no email, no sign-up.

A simple stock register you can start using today

A stock register (also called a stock ledger or stock movement register) is the running record of what you hold: how much came in, how much went out, and what is left. This free Excel template gives you exactly that in a clean, ready-to-use sheet — no formatting to build, no formulas to write. Enter your items and their opening quantities, log each goods receipt and each issue, and the Balance column keeps the closing figure right on its own.

It suits a small manufacturer's raw-material or finished-goods store, a distributor's warehouse, a spare-parts counter, a workshop or any office that needs to know its stock without buying software first. It is a genuinely useful starting point — and when your store outgrows a spreadsheet, the same columns carry straight into Fast Inventory with no retyping.

What is inside the template

Eleven columns, laid out for a real stock ledger. The header is bold and frozen so it stays visible as you scroll, and the goods-in and goods-out groups each carry their own date, quantity and reference.

Column What it holds
Item CodeYour unique code for the item (SKU / part number). Keeps each item distinct even if names are similar.
Item NamePlain description of the item so anyone reading the register knows what it is.
UnitUnit of measure — Nos, Kg, Ltr, Mtr, Box — so quantities are never ambiguous.
Opening QtyThe quantity in hand when you start the register (or at the start of the period).
In — Date, Qty, GRN NoEvery goods receipt: the date, quantity received, and the goods receipt note (GRN) number for traceability.
Out — Date, Qty, RefEvery issue or sale: the date, quantity out, and a reference (issue slip, invoice or job number).
BalanceA formula, not typed — Opening + In − Out. Updates itself as you add rows.
Reorder LevelThe stock point that should trigger a purchase. Watch any item whose balance falls to or below it.
LocationWhere the stock physically sits — store, rack, bin or godown.
RemarksFree notes — supplier, batch, damage, or anything worth recording against the line.

Where a spreadsheet stops

A stock register in Excel is a fine place to begin, and for a single small store it may be all you need for a while. But every spreadsheet hits the same walls as your business grows — and it is worth knowing them before they cost you.

No lot, batch or expiry control — a spreadsheet cannot enforce FEFO or flag near-expiry stock.
No audit trail — anyone can overtype a balance and you will never know who or when.
No reorder alerts — you have to eyeball every row to spot what is running low.
It breaks with many hands — two people editing at once, or more than one store, and versions drift apart.

Want this automatic instead of a spreadsheet?

When the register above starts to creak, Fast Inventory does the same job automatically — and far more. The columns you already keep map straight across, so moving over is a data import, not a fresh start.

An automatic, immutable ledger

Every goods receipt (GRN), issue, return, transfer and adjustment writes a tamper-evident ledger row on its own — no overtyping, and a full history you can trace forward and backward.

Reorder alerts, not eyeballing

Each item carries a minimum (reorder point) and maximum level, and a reorder dashboard flags anything at or below minimum, so lines never starve and cash is not stuck on the shelf.

Lot, batch, expiry & FEFO

Track batches with production and expiry dates and issue nearest-expiry-first — the control pharma, food, chemical and dairy stores need and a spreadsheet cannot give.

Multi-store & multi-user

Separate valued stock across as many stores as you run, with several users working at once — one accurate picture, not drifting spreadsheet copies.

Keeps your Tally & imports your sheet

Integrates with the systems you already run, including Tally, and imports your existing stock sheet so day-one reports are correct — no retyping.

On-site India support

Built in Pune (Nigdi) by Improsys; the same team sets it up, imports your opening balances and trains your storekeepers — hands-on, in your time zone, cloud or on-premise.

Fast Inventory in one line

Best for Indian manufacturing and distribution SMEs that have outgrown a stock-register spreadsheet and want an automatic ledger, reorder alerts and batch depth — with on-site support at an affordable, scoped price.

Proof, without the marketing

Pricing is scoped for Indian SMEs — per user, per store, or a flat fee — with an itemised written quote within 48 hours of a scoping call.

Common questions

Is the stock register Excel template really free?
Yes — completely free and ungated. There is no email form, no sign-up and no watermark. Click the download button and the .xlsx file saves straight to your device. Use it, edit it and share it inside your business as you like.
What columns does the stock register template have?
Item Code, Item Name, Unit, Opening Qty, an In group (Date, Qty, GRN No), an Out group (Date, Qty, Ref), Balance (an automatic formula), Reorder Level, Location and Remarks. The header is bold and frozen so it stays visible as you scroll, and one clearly-marked sample row shows how to fill it in.
How does the Balance column work?
The Balance column is a formula, not a number you type. Each row calculates Opening Qty plus In Qty minus Out Qty, so the closing balance updates itself as you enter receipts and issues. The formula is pre-filled down the sheet — just add your rows and leave the Balance column alone.
Does a spreadsheet stock register have limits?
Yes. A spreadsheet is a fine start, but it cannot enforce lot and expiry (FEFO), it has no audit trail of who changed what, it does not alert you when an item hits its reorder level, and it breaks down once several people edit at once or you run more than one store. When you outgrow it, Fast Inventory does the same job automatically with an immutable ledger, reorder alerts and multi-store control.
Will this template work in Excel, Google Sheets and LibreOffice?
Yes. It is a standard .xlsx file, so it opens in Microsoft Excel, LibreOffice Calc and WPS Office, and you can upload it to Google Sheets. The Balance formula uses basic arithmetic that every spreadsheet supports, so it keeps calculating wherever you open it.
How do I move from this spreadsheet to Fast Inventory later?
Because the template already holds your item codes, units, opening balances and locations, the Fast team can map those columns and import them directly, so your day-one on-hand and valuation reports are correct. You keep your data and, if you use Tally, your books stay aligned — no retyping.
