Solution — Asset, Spares & Consumables Inventory

Capital assets, spares and consumables — each tracked its own way

A critical bearing and a box of gloves should never be managed by the same rule. Fast Inventory tracks capital assets by barcode, keeps maintenance spares distinct from consumables, stocks gauges and measurement instruments as their own category, and applies reorder discipline and ABC to the long tail of low-volume SKUs. One configurable system, cloud or on-premise, for manufacturers, maintenance stores and businesses across India and worldwide.

Why maintenance and spares stores choose Fast Inventory

The stock problems every asset
and spare-parts store recognises

Spares and consumables are lumped together

A critical motor and a tin of grease sit in the same list on the same rules, so spend on capital spares is blurred into fast-burning consumables and no one can see either clearly.

The critical spare is out of stock when the machine is down

Thousands of slow-moving parts each move rarely, so a bearing quietly hits zero — and is discovered missing only when a line has already stopped and every hour costs money.

Nobody knows where a capital asset or gauge is

Assets get moved between departments and gauges get borrowed and not returned. Without tags and an issue trail, a physical check is the only way to find anything.

Dead stock ties up cash and nobody notices

Parts bought for a machine long gone sit for years. With no non-moving report, that capital just sits on the shelf while purchasing keeps ordering fresh stock elsewhere.

How Fast Inventory fixes each one
Spares, consumables and gauges kept apartItem type and group classify every SKU, and separate stores hold each class — so capital spares, consumables and instruments are managed and reported distinctly.
Reorder levels flag the critical spare in timeEvery item carries a minimum and maximum level, and the reorder dashboard flags anything at or below its minimum — so a critical part is reordered before the last one is issued.
Barcode tags and a full movement trailAssets, spares and gauges carry barcodes; issue, transfer and gate pass are scanned, and every movement posts to the ledger — so you always know where a tagged item is.
ABC and non-moving reports surface the truthABC classifies by value share so attention goes to the A-class spares, and non-moving reports expose the dead stock tying up cash on the shelf.
Asset & spares lifecycle

From a tagged asset to controlled reorder —
one store, three item classes, one ledger

Capital assets, spares and consumables each follow the same controlled path but with rules that suit their class — so a critical spare is never out and a consumable is never over-ordered.

Tag the asset → classify the item →
set reorder & ABC → issue and track

Fast Inventory gives maintenance and spares stores the control they keep trying to build with spreadsheets and bin cards — with each class of item on the rules that suit it.

Tag the asset
Enter each capital asset, spare and gauge in the item master with code, value and a barcode label
Classify the item
Set item type and store so spares, consumables and instruments stay in distinct categories
Set reorder & ABC
Apply minimum/maximum levels and ABC bands so critical spares get the attention they deserve
Issue and track
Scan to issue, transfer or gate-pass out for repair, with every movement on the immutable ledger
01 — Barcode-tracked capital assets

Every capital asset, tagged and traceable

Enter each capital asset in the item master with its code, specification and value, and print a barcode or QR label. Scanning that label pulls up the asset instead of typing a code, so issue, transfer, gate pass and physical counts are fast and accurate. Every movement — location change, gate pass out for repair, adjustment — posts to the immutable ledger, so you always know where a tagged asset sits and what it is worth.

02 — Spares kept distinct from consumables

A critical spare and a consumable are not the same thing

In the item master, every SKU is classified by type and group, so capital spares — bearings, seals, motors, PCBs — sit in their own category, distinct from consumables like grease, gloves and cutting fluid. Hold them in different stores — a maintenance department store, a component store, a general consumables store — and every movement and report can be filtered by class. Spend on capital spares is never blurred into fast-burning consumables again.

03 — Gauge & measurement-instrument inventory

Every gauge stocked, located and accounted for

Micrometers, vernier callipers, dial indicators and other measurement instruments are stocked as their own item category with barcodes, store locations and issue records — so you always know which instrument is where and who is holding it. Fast Inventory gives you the inventory and movement side: the register, the location, the issue and return trail. The reliability layer — calibration scheduling and calibration-due recall — is handled by Fast Maintenance, which runs on the same platform and reads the same instrument records.

04 — Reorder discipline & ABC

Many low-volume SKUs, each on the right rule

Spare-parts stores are the classic case of thousands of SKUs that each move rarely but must never be zero when needed. Every item carries a minimum (reorder) and maximum level, and the reorder dashboard flags anything at or below its minimum. ABC analysis classifies items by value share — A, B and C bands — so purchasing and cycle-count attention concentrate on the high-value spares, while non-moving and slow-moving reports surface dead stock tying up cash on the shelf.

05 — Reports & Dhruv AI

Ask your store data questions — in plain English

Beyond stock, valuation, ABC, reorder and non-moving reports, Dhruv AI gives store and maintenance managers a role dashboard over live data, a natural-language chat that turns a plain-English question into a query validated through a read-only sandbox, and clustering that groups issue and adjustment remarks into labelled themes — so recurring reorder exposure, non-moving stock and value concentration surface on their own instead of waiting for someone to run the report.

Everything Fast Inventory covers
for assets, spares and consumables

Item master by class

Item type and group classify capital assets, spares, consumables and instruments distinctly, each with its code, specification, valuation and reorder levels.

Barcode & asset tags

1D/2D and QR labels on assets, spares and gauges for scan-based issue, transfer, gate pass and counting, so movement stays fast and the ledger stays accurate.

Issue, transfer & gate pass

Issue spares and consumables against a department, machine or job, transfer between stores, and gate-pass an asset out for repair and back — every leg on the ledger.

Gauge & instrument register

Measurement instruments stocked as their own category with barcodes, locations and an issue/return trail — with calibration recall through Fast Maintenance.

Reorder, ABC & non-moving

Minimum/maximum reorder levels, ABC classification by value share and non-moving/slow-moving reports — the discipline a store of many low-volume SKUs needs.

Stock taking & reconciliation

Cycle and physical counts record variance only, then reconcile through a posted adjustment — so an asset count never silently changes the ledger.

FAQ

Asset & spares inventory —
what store managers ask us

Can it keep spares separate from consumables?

Yes. Item type and group classify every SKU, and separate stores hold each class — so capital spares, consumables and packaging are managed and reported distinctly.

How are capital assets tracked with barcodes?

Each asset is entered with a code, value and barcode; scanning it speeds issue, transfer, gate pass and counting, and every movement posts to the immutable ledger.

Does it handle gauge inventory?

Yes — instruments are stocked as their own category with barcodes, locations and an issue/return trail. Calibration recall is handled by Fast Maintenance on the same platform.

How does reorder and ABC work for thousands of spares?

Every item has minimum/maximum levels flagged on a reorder dashboard, and ABC classifies by value share so purchasing focuses on the high-value spares.

Is this the same as Fast Maintenance?

They are complementary. Fast Inventory covers stock, valuation, reorder and ABC; Fast Maintenance covers the maintenance workflow and the spare BoM per machine.

Cloud or on-premise?

Either. Fast Inventory is one configurable system serving manufacturers, maintenance stores, distributors and warehousing businesses across India and worldwide.
