Why spares break normal inventory thinking

1. The demand pattern is inverted

Regular inventory has few items moving often; spares are many items moving rarely. A bearing may be drawn once a year — but when the machine is down, its absence costs more per hour than the part costs in total. Sparse movement also means record errors do not surface naturally: a wrong balance on a part nobody draws stays wrong until the emergency that exposes it.

2. Identification is half the battle

The same seal can exist under a manufacturer number, a vendor code and two informal names — and a store that cannot identify a part reliably buys it again. Duplicate codes are the silent tax of spares stores, which is why the item master matters more here than anywhere else in inventory.

3. Value concentrates, movement doesn't

For spares, the reorder question is asked part by part: how long does replenishment take, how much could be consumed in that window, and what does a stockout cost? Long-lead imported parts and single-source items justify higher minimums; commodity hardware does not.
